Meeting Minutes

September 12, 2011

The first and most important thing on the agenda was the Mexican Stack-Up Supper. Edward Ragsdale has the beef order, and will also provide tea, sugar and cups. Diane Wood will cook the rice, and we are still working on getting tortilla chips, salsa, and sour cream. Parents will be cooking the meat with seasoning; cooks will be able to pick this up at G & R. Parents who are interested in cooking, please email Julie. An email will go out regarding desserts. Tony will have a final cost estimation for the next meeting. Setup time will be 2:30, with all meat cooked to be there no later than 4:30, which is when we will begin serving. A flyer will go out to all parents regarding volunteers

The date for the radiothon, to be held some time in November, is still being determined.

Tony brought up some possible fund-raisers for next year, such as sunglasses, and "the best seat in the house", which would take the form of a raffle. Four winners at each home game would have seats on a reclining couch with pizza and drinks provided, on the field. A related possibility was "prime parking", where a close-in parking space would be reserved for the winner. The couch used for "the best seat" would be raffled off at the end.

Little Dribblers was next discussed at length. Kim Kirk, former tournament director, sent Mr. Sours detailed information about what kind of expenses we would have, how many people would be needed, and how much income was possible. It was decided we would take the project on, and Mr. Sours is going to begin the process of formal organization with Ms. Kirk.

Scholarships for seniors were also discussed. Mr. Sours shared his vision and belief that more than three scholarships could, and should, be given each year. He believed with the ongoing fundraising, we would be able to at least increase the amounts of our scholarships.

Finally, we discussed the quilt raffle, and we will need volunteers beyond our next home game.

Next Booster meeting will be September 19, 2011, 6 PM at the band hall.


August 31, 2011

The Band Boosters held their first meeting of the 2011-12 year on August 31. The first order of business was to elect officers. Gayla Hawkins will replace Lauren Mays as Vice President. All other officers were nominated and elected by acclamation to continue another year -- President Tony Guidroz, Secretary Julie Gates, and treasurer Melanie Mathis.

Melanie next gave a short treasurer's report, showing the Band Boosters had $632 and change in their account.

Melanie also showed the quilt made for the boosters to raffle off this year. There are links to photos of the quilt, including the custom made tag with the Bands logo, in the News box on the home page of this site. Ticket prices for the raffle were set at $1.00 per ticket or 6 chances for $5.00.

Discussion then turned to planning for the annual Steak Supper. Tickets were set at $10 for adults and $5 for kids. An attempt will be made to set up online sales. It was decided to seek bids for all supplies except for desserts, which will be donated by boosters. Anyone willing to volunteer and/or donate desserts needs to contact Julie as soon as possible. Tony was going to check on hiring a clean-up crew that would take care of tearing everything donwn and storing it where it was needed.

Mr. Sours brought up taking over the Little Dribblers tournament, stressing that we stood to make significantly more running the tournament than merely having the concessions. It was decided that the Boosters would see what kind of volunteer numbers would be needed to put on a week-long tournament.before making a final decision, which needs to come before November. In conjunction with this, it was also decided that should the high school track meet be offered to us again, we would take that; however, softball and the Midnight Madness softball tournament would be refused, due to issues with having enough volunteers to go through the season.

Tony next spoke about a radiothon to benefit the Boosters, and it was agreed we would try to do this event in November, giving us two major fund-raising events each semester. Tony was going to speak with Skeebo Norris about setting a date, and we would go from there.

The final order of business for the evening was setting a date for the next meeting, which will be Monday, September 12, 6:00 PM at the band hall. The meeting was then adjourned.
